Data Deletion Instructions

1. Overview

This page explains how to request deletion of personal data associated with your use of AI Clinic Agent by Najah AI, including data collected through our website chat, WhatsApp Business messaging, voice channels, and clinic admin tools.

Meta (Facebook / WhatsApp) app review and users can use this URL as the official Data Deletion Instructions link.

2. How to request deletion

Send an email to:

admin@najahai.com

Use the subject line Data Deletion Request and include:

• Your full name
• The phone number and/or email you used with the assistant (especially your WhatsApp number if you messaged us)
• The clinic name, if you know it
• Any conversation ID, booking reference, or approximate dates of contact
• A clear statement that you want your personal data deleted

3. What we will delete

Subject to legal retention requirements, we will delete or anonymize:

• Chat and messaging history linked to your identifiers
• Voice transcripts associated with your sessions (if any)
• Appointment / lead records we store for the assistant
• Account profile data for staff users, if you request account closure

4. What we may retain

We may retain limited information when required to:

• Comply with law, regulation, or lawful requests
• Resolve disputes, prevent fraud, or enforce our Terms
• Keep security logs that do not identify you beyond what is necessary

If a clinic (our customer) is the controller of your medical / patient record, some data may also need to be deleted by that clinic. We will tell you if your request must be redirected to the clinic.

5. Timeline

We aim to confirm receipt within 7 business days and complete deletion within 30 days of a verified request, unless a longer period is required by law or technical constraints. You will receive a confirmation email when the request is completed or if we need more information to verify your identity.

6. WhatsApp / Meta users

If you interacted with a clinic through WhatsApp, deletion from our systems does not automatically delete copies stored in your WhatsApp app or on Meta's systems. You may also manage or delete data through WhatsApp / Meta settings and Meta's own data-deletion tools where available.

7. Identity verification

To protect privacy, we may ask you to verify that you control the phone number or email linked to the data before we delete it. We will not disclose another person's data in response to an unverified request.
